Planning checklist

Dealer meet planning checklist

A dealer meet is only worth its cost if dealers leave clear about what to do next. This checklist puts the decisions in order, starting about twelve weeks before the event.

The short answer

How do you plan a dealer meet?

Fix the business objective first, then choose the dealer count, city and a date outside the peak selling season. Send invitations six to eight weeks ahead, confirm travel, prepare schemes and product displays, and check the recognition list carefully. Rehearse the day, then follow up within a week so targets are not forgotten.

8–12 weeks before: make the big decisions

  • Write down the one thing dealers must do differently after the meet
  • Decide on a national meet or regional series
  • List dealers by region and estimate how many will travel
  • Choose dates outside peak selling and festive seasons
  • Set the budget, including travel and stay
  • Shortlist venues and complete a recce

6–8 weeks before: invitations and logistics

  • Send invitations with a clear reason to attend
  • Have area sales teams call dealers personally
  • Start an RSVP tracker with travel and stay details
  • Block rooms and group travel
  • Confirm the venue layout, power and load-in times
  • Check product transport and display requirements

3–4 weeks before: content and production

  • Finalise the running order and speakers
  • Prepare the schemes and targets, and get approvals
  • Finalise the recognition categories and verify winner names
  • Order trophies, citations, signage and print
  • Plan small-group rotation for the product showcase
  • Confirm anchors, entertainment and dinner

Final week: check everything twice

  • Reconfirm RSVPs and share travel details with each dealer
  • Collect presentations and test them on the show machine
  • Prepare a takeaway of targets and schemes for every dealer
  • Brief the crew, floor managers and sales team hosts
  • Check the trophy sequence against the script

On the day

  • Do a technical rehearsal before guests arrive
  • Keep the welcome desk staffed before the first arrivals
  • Hold the business session while energy is high
  • Give every dealer hands-on time with the product
  • Keep a photographer at the recognition segment
  • Leave time for dealers to talk to your regional team

Within a week after

  • Send targets, schemes and presentations to all dealers
  • Share photographs, especially of award winners
  • Have area teams follow up on commitments made at the meet
  • Collect feedback from a sample of dealers
  • Reconcile the budget and note what to change next time

Common mistakes

The usual problems are long business sessions, invitations sent too late, recognition errors in front of peers, and no follow-up after the event. A meet that closes with clear next steps tends to be remembered for the right reasons. If you are running one alongside a launch, see our product launch events page.
